Following are brief descriptions of the exec positions available:

Canoe

  • President

    Act as primary representative of the club for the Union and any other organisations.
    He/she is responsible for all matters concerning the club in association with the exec.
    He/she must overview all coaching activities and club trips.
    Be capable and willing to help any of the other exec members in their duties.
    He/she should be willing to aid club members interested in helping with club activities.
    Must possess the Equal Opportunities qualification from the Union and always be available to provide confidential advice to all members.

    Vice President

    Support the President in his/her role and step in when President is absent. He/she must share the responsibilities and tasks of the President and Secretary. Be capable and willing to help any of the other exec members in their duties.

    Secretary

    Keep members informed about decisions made concerning the club.
    Organise order for club clothing and any trip/event clothing.
    Hold and maintain a trip portfolio which should include information on all past trips with contact details included.
    Needs to take minutes from exec meetings and pass them on to all members of the exec

    Treasurer

    Monitor, organise and keep an up-to-date record of all financial transactions within the club.
    Keep and store all receipts, invoices and guarantees for club kit.
    Know the union system and how best to benefit and improve the club and its members.
    Responsible for completion of annual Budget

    Kit Secretary

    Maintain and service all equipment and storage facilities.
    Monitor usefulness of kit and areas where new kit is needed.
    Be responsible for choosing new equipment and presenting order to exec before passing to Treasurer for purchase through union.

    Coaching Secretary

    He/she should be the first point of contact for all members on any coaching issues and be responsible for member development including:

    • Help organise the freshers teaching program in term 1 with the president and club coaches.
    • Organising off-site training sessions
    • Organising coaches to run training sessions and pool sessions

    He/she will work alongside the club's coaches and should be the club's liaison for all internal and external coaches connected with WUCC.
    Support and aid anyone interested in competition in paddlesport.
    Position does not require coaching qualifications!

    Tour Secretary

    Overall responsiblity for major club tours, including the Easter tour to Scotland and the possiblity of a Summer Tour. Needs to commit to the trips, oooze enough enthusiasm to get the rest of the club involved and organise the booking and iteneries.

Canoe Polo

  • President

    The President has overall control of the club. The President acts as the primary representative for the club to the Union and any other organisations. The President delegates responsibilities to other members of the Executive Committee. He/she should however be able to assist and provide guidance to other Committee members if necessary. The President should ensure that the Union and University policy on Equal Opportunities is implemented, and he/she should complete a 'Duty of Care' course with the Union when they are elected. The President should nominate a member of the Executive to fulfill the role of Safety Officer. The President is responsible for booking the Main Campus Pool for club training sessions and tournaments. The President usually takes charge of the organisation of larger scale events and should oversee any trips, tournaments, coaching or other activities that are undertaken as a club.

    Secretary

    The Secretary should support and assist the President in his/her duties, and take over his/her responsibilities at times of absence. The Secretary should record minutes of all Executive Committee meetings, and make these available to Union officials or club members if they are requested. The Secretary should assist the President in being fully informed about any upcoming Union meetings, courses or events. He/she should help to ensure that all club documentation is up to date, and that the club is fulfilling all its duties and requirements towards the Union, other organizations and its members. The Secretary is responsible for all club clothing orders.

    Treasurer

    The main role of the Treasurer is to look after the funds of the club. This involves regularly checking the club’s accounts, monitoring, organizing and keeping an up-to-date record of all financial transactions within the club. The Treasurer is thus responsible for collecting monies from its members and processing it through the accounts. He/she should ensure that club money is not misspent while actively seeking sponsorship to help fund any club activities. He/she should also store all receipts, invoices and guarantees for club kit. The Treasurer is responsible for completing the annual budget request to the Union.

    Kit Secretary

    The Kit Secretary is responsible for the upkeep and safe storage of all club equipment. He/she should ensure that all kit is legal and safe, as well as of a standard suitable for the level that the club competes at. The Kit Secretary is responsible for maintenance or contracting qualified maintenance for all kit. He/she is responsible for choosing new equipment and presenting order to the Executive before purchase.

    Coaching Secretary

    The Coaching Secretary is responsible for the integration of beginners into the club, ensuring their levels of competence and safety on the water. He/she should organise any coaching trips/pool sessions, and should be a point of reference for all enquiries regarding refereeing or player development. The Coaching Secretary is responsible for liaising with coaches with regard to player development. Ideally, this person should be a BCU qualified referee, though this is not essential. This person should complete a 'Duty of Care' course with the Union when they are elected.

    Tournament Secretary

    He/She shares responsibility with the President for the running of the Tournaments. The Tournament Secretary and the President should agree at the start of the year on how they intend to split the load of tasks associated with the organisation of both - the annual Warwick Tournaments and the attending of tournaments and events organized by other clubs. Tasks of the Tournament Secretary will typically include e-mailing other clubs when organising entries, making playlists, buying prizes, booking transport etc. The Tournament Secretary carries a general responsibility on ensuring the smooth running of the larger scale events and (alongside other Committee and club members) he/she carries responsibility for the club’s behaviour and conduct at events. The Tournament Secretary should actively engage in communication with other clubs and be informed about any upcoming events.

Joint Positions

  • Social Secretary (x2)

    Organise all social events and activities for the club.
    At least one social sec must attend each social activity.
    Must organise arrangements for the following:

    • Sports Federation Ball (run by the union)
    • Freshers social in term 1
    • Summer BBQ after exams

    Webmonkey

    The website is likely to need a lot of work as it has been failing this year due to the fact, that I'm not very good
    Have at least a basic knowledge of how to run a website, and if possible be able to fix major problems which have become more noticeable since compsoc changed their setup.
    Maintain and update the club website, including adding features as needed.
    Maintain club e-mail account/exec e-mail addresses and forward on any new e-mails to the relevant exec member(s).
    Make sure information pages are kept up to date on a weekly basis.

  • The exec work as a team and have a responsibility to help each other as needed. As an exec member you are expected to take charge of the club and look after its members.
